Role Overview

This full-time, in-office position in Brooklyn, NY is suited to an organized professional who can keep administrative systems running smoothly in a busy environment. The Office Administrator / Office Associate will handle a variety of day-to-day office tasks, coordinate communications, and help maintain accurate records and workflow.

Key Responsibilities

  • Oversee proposals, contracts, and other routine office paperwork.
  • Keep insurance certificates, compliance files, and company records updated and well organized.
  • Manage phone calls, emails, and written communication with clients, vendors, and internal staff.
  • Arrange meetings, appointments, and company events.
  • Set up and maintain both digital and paper filing systems.
  • Support billing-related coordination, invoice monitoring, expense tracking, and data entry.
  • Create reports, spreadsheets, and other administrative materials.
  • Monitor office supplies and handle general office needs.
  • Deliver courteous and professional customer service.
  • Assist with special assignments and provide administrative help to the team as required.
  • Help keep daily office activity organized and running efficiently.

Requirements

  • Strong verbal and written communication, along with solid customer service ability.
  • Well-developed organization, multitasking, and time-management skills.
  • Careful attention to detail, consistent follow-through, and practical problem-solving.
  • Prior experience in office administration, administrative support, or a client-facing position is preferred.
  • Comfort using Microsoft Office, Google Workspace, Claude, and similar digital tools.
  • Basic familiarity with accounting tasks such as invoices, payments, and recordkeeping is an advantage.
  • Ability to work both independently and as part of a team.
  • High school diploma or equivalent is required; additional training in business or administration is beneficial.
